Set Up QuickBooks for Use with Endicia Professional

Before you can import invoice, sales receipts, or sales order information from Intuit QuickBooks into Endicia Professional, you must:

• Install QuickBooks Foundation Classes software to enable data exchange.
• Grant permission for Endicia Professional to retrieve data from QuickBooks.

You can optionally set up automatic post-back of shipping information to QuickBooks.

After you have completed the following setup, you can retrieve QuickBooks invoice, order, or receipt information through the Order Lookup tab in Endicia Professional.

• Note: The setup or changes that you make in the following Steps apply only to the current profile.

Steps

1. In Endicia Professional, select Edit > Preferences.
2. In the Preferences dialog box, select the Data Source and Post-Back tab.
3. In the Source Data area, in the Order Lookup field, select QuickBooks (Desktop).
4. Select one type of QuickBooks record that you would like to use:
   • Invoices
   • Sales Receipts
   • Sales Orders
5. Click the link to download and run the QuickBooks Foundation Classes (QBFC) installer.
6. Optional: Set up automatic data post-back:
   1. In Endicia Professional on the Data Source and Post-Back tab, in the Post-Back Data area, select QuickBooks (Desktop).
   2. Select one or more types of data to post back:
      • Tracking Number
      • Shipping Date
      • Postage Amount
   3. Close the QuickBooks Setup window: Click OK.
   4. On the Post-Back Options window, in the Post-Back Data area, click the Options button.

   5. In the Post-Back Options window, select Automatically Post Back Data.

      (Alternately, you can manually post back data. See Print a Shipping Label Using QuickBooks Data.)

   6. Close the Post-Back Options window: Click OK.
   7. Close Preferences: Click OK.
7. Close both QuickBooks and Endicia Professional: In each application, select File > Exit.
8. After you have completed QBFC installation, you must grant Endicia Professional permission to access and modify your QuickBooks data:
   1. Before you retrieve an invoice or sales order, start QuickBooks in Single User mode as the Administrator.

   2. In Endicia Professional on the Order Lookup tab, retrieve one order.

      In order for Endicia Professional to retrieve orders from Quickbooks, you must grant Endicia Professional permission to access and modify your QuickBooks data.

   3. At the QuickBooks dialog box prompt that asks you to allow the application (Endicia Professional) to access the (QuickBooks) company file, select Yes, whenever this QuickBooks company file is open.
   4. Click Continue.
   5. In the Confirm to Proceed dialog box, click Yes.

   6. Log out of QuickBooks: Select File > Exit.

      You can log back in to QuickBooks in Multi-User mode and begin importing QuickBooks invoice information into Endicia Professional to print shipping labels.
