About SCAN Forms
The Shipment Confirmation Acceptance Notice (SCAN) form:
- Streamlines the process by which the USPS physically accepts your daily shipments.
- Consolidates your daily eligible, trackable shipments onto one form.
- Uses a single barcode that the USPS scans for all the shipments. The USPS tracking system indicates "Shipment Accepted" for each of the shipments on the SCAN form.
- Saves time for both you and the USPS. (Otherwise, the USPS representative would have to scan each package, which would otherwise amount to dozens, hundreds, or thousands of separate scans.)
- Lets your customers verify the status of their packages using the automatic email notification. Your customers will see the exact time and date packages that the USPS physically accepted their packages.
The SCAN form is also known as the PS5630 form.
- Note: The SCAN form feature is available to all Premium and higher service plan accounts.
The SCAN Form shows you:
- Shipment date.
- Name and address of the mailer.
- Type of Mail: Types include: Priority Mail, Priority Mail Express, International Mail, and Other.
- Volume: The quantities of mailpieces.
- The USPS Tracking barcode and ID. The ID corresponds to the Submission ID on the SCAN Forms. For more information about the report, see About the SCAN Forms Report.
- Tip! If you ship high volumes of COD, Certified Mail, or Registered Mail mailpieces, you can prepare a daily Firm Book to present to the USPS representative who physically accepts your shipments. The Firm Book provides legal proof of acceptance by the USPS to show that you sent a mailpiece or if you need to file a COD or insurance claim. For more information, see About Firm Books.
